Everything you need to know about the Receivables Manager

The Receivables Manager feature in ABELDent’s practice management software is a powerful tool that can help your team stay on top of outstanding patient balances and collect payments more efficiently. With the Receivables Manager, you can easily filter and search for patients who have balances owing, access their full patient records to view key details, and even export financial data easily.

The Receivables Manager allows you to view all outstanding patient balances in one centralized location. You can sort and filter balances owing in several ways, including by patient name, provider, insurance provider, balance amount, last payment date, and more. If you are searching for a specific account holder, you can search for their name to find them quickly and easily.

ABELDent’s Receivables Manager offers useful sorting and filtering options that simplify identifying which patients require follow-up for overdue payments. Combined with ABELDent PCS (Patient Communication System), The Receivables Manager can streamline and automate many parts of the process of collecting payments from patients.

In the Receivables Manager, you can access each patient’s record in just a few clicks or via keyboard shortcuts (e.g. pressing the “U” key.) Being able to view the patient record helps provide valuable contextual information that will help you best reach out to a specific patient. For example, if a patient has a specific communication need (e.g. can only receive phone calls and not text messages or emails) your team can plan accordingly when contacting patients to collect outstanding balances.

ABELDent’s Receivables Manager is built into ABELDent Cloud and ABELDent Local Plus. If your practice is currently using an older version of ABELDent and is interested in updating, or you are using different software and interested in switching to ABELDent, please contact our team so we can help you get started today.

All About ABELDent’s Patient Manager

The ABELDent Patient Manager is a comprehensive tool for managing patient appointments and quickly accessing patient information. You can also use the Patient Manager to see your day at a glance, including appointments that are complete, current appointments, and more. Read on to see the summary of the main points from our video on ABELDent’s Patient Manager.

The Patient Manager functions as ABELDent’s control panel to help you monitor and service the patients that you will see today. The Patient Manager is a convenient alternative for ABELDent’s schedule view that displays additional information, including appointment progression states, patient alerts and wait times.

Patient alerts are small icons that appear alongside your patients’ appointments and indicate their allergies, relevant medical conditions, and specific issues that may impact their visit or treatment. They are a particularly useful tool to prepare your team when they are short on time and need to see crucial information quickly.

The Patient Manager also displays the Patient Sidebar, which is visible on most of the major screens in ABELDent. The Patient Sidebar displays personal and clinical information under convenient dropdowns to minimize unnecessary navigation to other areas of the program while also appearing uncluttered. The personal tab displays demographic information, including the patient’s primary providers, the last recall date, upcoming appointments, unscheduled appointments and insurance and financial information, including any balances owed. The clinical tab displays vital patient data such as medications, allergies, health history, and any digital forms that the patient may have submitted, including consent forms or new patient intake forms.

Similar to ABELDent’s scheduler view, the Patient Manager allows you to navigate to any part of a patient’s record through right-click menus and keyboard shortcuts. The navigation bar at the top of the screen, which is available everywhere throughout ABELDent,  is a convenient way to access different parts of a patient’s record, helping streamline your practice’s workflows and save time when working with patients.

The Patient Manager is built into ABELDent’s latest versions, ABELDent Cloud and ABELDent Local+. If you are interested in using the Patient Manager but are not using one of these versions of ABELDent, we invite you to reach out to our team to upgrade. Our team is here to help you select a solution that is best for your practice. Call our team any time at 1-800-267-ABEL (2235) and press 1 to speak to our sales team or reach out to us here.

The Benefits of Online Learning

Education is never a “one size fits all” situation. A popular concept for categorizing learning styles is the VARK model, developed by Neil Fleming in 1987. VARK is an acronym for Visual, Aural, Reading/Writing, and Kinesthetic. The model proposes that each person has a predominant method of learning that is most natural to them. At ABELDent, we understand that different people learn at a different pace and in a variety of ways. This is why we provide different training methods to help each member of your team learn in a way that suits their individual learning style. Our goal is to provide options so that everyone on our team can get the most out of your practice’s dental software.

The VARK Learning Style Model - Four quadrants. Quadrant 1: Visual. Quadrant 2: Auditory. Quadrant 3: Reading/Writing. Quadrant 4: Kinesthetic.

One of the main learning options is online training/education. Online training offers maximum convenience and flexibility for your team to enhance their skills and knowledge of your dental software. Through online modules, your team members can easily learn about the best practices for using your dental software, along with tips or shortcuts for more efficient daily workflows. Online training is accessible at any time, from anywhere, if you have your device and a secure Internet connection.

Not only does online learning provide an option for people who may need more than group training sessions, but it also allows people to brush up on their knowledge whenever they want. If repetition is a major part of a team member’s learning style, they have the option to repeat modules as needed.

With ABELDent Learning Management System (LMS), ABELDent users can follow along with short walkthroughs of ABELDent features. ABELDent Mastery LMS is a simple and easy-to-use education option for your whole team. Read on to see the five main benefits of using ABELDent LMS in your practice.

The Benefits of Using ABELDent LMS

1. ABELDent LMS is Accessible

  • ABELDent Master LMS can be accessed anytime, anywhere. Learners can spend as much or as little time as they need on lessons. Learners can also re-do lessons as needed.
  • ABELDent LMS accommodates busy schedules. The learning materials are available online whenever learners are available. This is a flexible option for team members who may have limited time to spare during normal practice working hours.

2. Has Role-Based Learning

  • ABELDent LMS is organized into roles, meaning that your administrative team’s learning focus will primarily be on the administrative parts of ABELDent, whereas your clinical team members will focus on the clinical capabilities of the software. Role-based learning minimizes wasted time by ensuring that learners focus on the parts of the program that pertain to their job functions while also reducing redundancy. If you want team members to be well-versed in the entire software, you have the option to assign courses accordingly.
  • Practice owners and managers can check in on individual progress by monitoring how far individual team members have progressed in assigned content and courses. This helps your management team organize training initiatives and encourage learning.

3. Your Team Learns by Level

  • Within each role in ABELDent LMS, the material is offered in three levels: Basic, Intermediate, and Advanced.
  • Your team members do not have to worry about being overwhelmed with a lot of details early on – once learners establish foundational knowledge, the later levels allow learners to build upon their initial knowledge and skills.

4. It’s a Good Option For Individual Learners

  • Team members who do not thrive in a group learning setting or in a one-on-one presentation-type setting will benefit from ABELDent LMS. ABELDent LMS is also a good option for people who learn best by practicing rather than listening, as most courses are a mixture of videos and demonstrations, where learners follow along and are instructed to click areas of the program in the educational software.

5. Your Team Stays Up-to-date on New Features

  • ABELDent Cloud and Local+ are often updated with new features and workflows. As ABELDent is updated, new content is added, so your team stays up to date on the latest features and best practices for using ABELDent.
  • This is the best way to quickly learn the tips and tricks for using ABELDent more efficiently and simply.

ABELDent LMS is included with the ABELDent Local+ and Cloud versions. If your practice is not utilizing ABELDent LMS, we encourage you to get started – even experience users may find information about using ABELDent more efficiently faster that your team does not know about. If you have any questions about using ABELDent LMS, please contact our team at your convenience. Our team is available 24/7 to help you get the most out of your dental software.

ABELDent’s 2023 Year In Review

With 2023 coming to a close, we want to take the chance to thank ABELDent users for the continued support and trust as your dental software provider. Throughout the year, we were dedicated to enhancing our mainstream ABELDent products with new features and enhancements designed to help you streamline the operation of your dental practice.

In this blog post, we will discuss some of the features we added to ABELDent Cloud and Local+ in 2023. If you use an older version of ABELDent and you are interested in upgrading to ABELDent Cloud or ABELDent Local+, the list below describes just some of the features and benefits available to you once you upgrade. If you are not interested in ABELDent Cloud or Local+ at this time, we recommend that you update to the latest ABELDent LS version, 14.8.2. If you want more information on ABELDent updates and upgrades, please reach out to us here or call us at 1-800-267-ABEL (2235).

New Features in ABELDent

The Global Navigation Bar

ABELDent’s Global Navigation Bar (GNB) is a single toolbar that provides simple access to most of the commonly used screens from most areas of the software. This improves ease of use and discoverability for both new and experienced users. You can customize how the GNB looks in your ABELDent software via the User Interface Style option in settings.

New Patient Self Booking

Embed a button on your website that prospective new patients can use to register with your office and make a new appointment with your practice. You control which providers new patients can schedule appointments with as well as provider availability.

Automated Recall Booking and Patient Reminders

ABELDent users with ABELDent Patient Communication System (PCS) can now reach out to patients who are overdue for hygiene appointments. Automated Recall Booking sends out periodic email and text reminders to patients with overdue appointments and invites them to schedule appointments. ABELDent PCS is not the only patient communication system available to dentists, but it is the only one specifically designed for ABELDent Local+ and ABELDent Cloud.

Voice-Controlled Perio Charting

Your hygiene team can work independently in the operatory to record data during a periodontal exam, eliminating the need for a second person to help record data. Using voice recognition technology, your team members can now record periodontal data and control navigation using a headset with a microphone.

Electronic Claim Explanation of Benefits (EOB) Reconciliation

EOB Reconciliation helps ensure the accuracy of insurance and patient payments and makes collecting patient payments quicker and easier. When an electronic claim is sent, and an Explanation of Benefits is returned, ABELDent uses the coverage details to update the expected coverage and determine any patient payment remaining.

Online Payments

Online Payments make collecting outstanding balances from patients easier and more secure. You can also use ABELDent to remind patients who have outstanding balances to make their payments via email reminders.

Customizable Emailable Health History Form and Custom Emailable Forms

ABELDent allows you to create customizable online forms, including Health History forms, Dental History forms, Consent forms, and more. ABELDent’s secure online forms allow patients to complete and safely submit data into their ABELDent record. These forms are convenient for both your team and your patients for the following reasons:

  • Since online forms can be completed from anywhere on your patients’ devices, patients do not have to remember to complete and bring a physical form or spend time in the waiting room filling out forms.
  • When a patient submits a form, it is embedded in the patient’s record to minimize the time spent inputting data and reduce transcription errors.

View by Status in Patients’ Charts

Your practice can enable an option that displays charted information by status – planned, completed within your practice, or completed outside of your practice. This option helps your team visually differentiate treatment status faster than before.

Clinical Notes Improvements

ABELDent’s updates provide Clinical Notes improvements in the form of enhanced note protections. You can append to clinical notes with a complete audit trail and sign off on notes to lock and protect them permanently.

Our team will continue to refine and optimize the capabilities of ABELDent. We constantly look for opportunities to create a better experience for ABELDent users.

Are you interested in providing meaningful feedback and helping to guide the future of ABELDent software? If so, we invite you to join our Innovation Insider program. Customizing Your Dental Practice’s Online Forms with ABELDent

ABELDent has some exciting new features coming to the program soon, including the ability to customize ABELDent’s online forms. Digital forms are a staple for many modern-day businesses and healthcare offices, including dentistry. From new patient intake forms to health history to consent forms for treatment, your practice may already generate plenty of electronic files for forms every week. If your practice is not fully paperless yet, consider some of the following benefits of digitizing your practice’s files, particularly by implementing online forms.

Benefits of Using Online Forms in Your Dental Practice

  • Online forms remove the hassle of digitizing paper-based forms, saving your team valuable time.
  • They reduce the potential for error that paper-based forms have, such as illegible handwriting or physical damage to the form, such as rips, tears, spills, etc.
  • Digital forms are more convenient for prospects and patients to fill out at home, eliminating issues such as losing the form, not being able to print out a form from your website, or forgetting to bring the form to your appointment.
  • Patients can fill out forms in the days before their appointment, cutting out the time spent in your waiting room and providing your team with the opportunity to review the form before the patient visit.
  • Online forms are easier to manage, especially if they are sent directly to your patients’ files in your practice management program. Dental software such as ABELDent makes managing online forms easy with built-in form features.
  • Depending on your software of choice, online forms can be more secure than paper forms. ABELDent, for example, uses encryption to ensure your patients’ PHI (personal health information) is protected.
  • Eliminating paper waste helps save your office’s resources, lowers your practice’s carbon footprint, and helps you save money that would have been spent on printer paper and ink.

What if the digital forms you currently have don’t meet your practice’s expectations? What if you need to make an adjustment to your practice’s online forms? Practices using ABELDent Cloud or Local+ benefit from ABELDent’s Form Builder, which provides you with the tools you need to edit the online forms you use to meet your needs.

With ABELDent’s Form Builder, you can add or remove questions from forms, edit existing questions, change the order of questions, and insert informational paragraphs in between questions. ABELDent’s versatile form builder lets you create and edit any forms your practice may need and makes sending forms easier than ever before. Additionally, once your patient submits their digital form, the form goes directly to their patient file, eliminating the process of scanning or inserting information manually.

You can also use the Form Builder to create an online form from scratch, customizing your office’s form to match your practice preferences. If your office changes branding or has a logo change, for instance, you can easily update your forms to match the new branding without having to create brand-new forms.

To learn how to use ABELDent’s Form Builder, watch our video below.

A Deep Dive into Charting in ABELDent

Tasks like recording conditions, charting treatment, and planning treatment are easier than ever before. ABELDent’s extensive charting capabilities allow you to do more in less time. Watch our video to learn about ABELDent’s charting functionalities and see how simple charting and creating clinical notes can be.

Charting – Key Points

The accompanying video shows you how to chart existing conditions and today’s treatment, and how to chart planned treatment in treatment plans.

  • Charting existing conditions allows you to apply a condition to multiple teeth at once by holding down the condition button for a few seconds until it turns blue. This can save you from repetitively clicking and help you chart existing conditions more quickly.
  • You can set up preferred codes in your ABELDent system to provide easy access to the most used procedure codes. This is helpful for common procedure codes that your team members may use multiple times daily, such as hygiene procedures.
  • Treatment planning has the same simplistic click-and-select process as existing conditions and today’s treatment, providing graphical visuals for selections and allowing you to plan treatment for multiple teeth in just a few clicks.

Clinical Notes

You can set up note templates in your ABELDent system and customize progress note templates to your practice’s individual needs. To create detailed notes quickly and effectively, navigate to the appropriate drop-down for your clinical note (e.g., restorative, hygiene, extraction, etc.) From there, you can double-click one or more note segments to add them to your note. If you need to modify a selected note segment or add information that is not in your note templates, you can type freeform directly in the note.

Three Tips to try for Minimizing Patient No Shows

The harm no shows have on practice revenue

While no shows are stressful, irritating, and hard to work around in terms of filling the last-minute opening, they can also deliver a heavy blow to your practice’s income. All the cancelled appointments that pile up can add up to tens of thousands of dollars in lost revenue per year. With the unpredictable nature of patients and patient care, what can your practice do to avoid no shows?

There are multiple methods your practice can try implementing to reduce last-minute cancellations and forgotten appointments. Some methods may work well for certain patients, whereas some people may seem to no show for almost every appointment, no matter how many reminders you send. If your office is struggling with multiple no shows from the same few patients, implementing a cancellation fee may be a viable solution for your office.

Below, we have listed just some of the ways you can try to minimize last-minute cancellations and no shows.

1. Harnessing automatic text appointment reminders

text message

Statistics show that 60% of people read a text within the first five minutes of receiving the message. Additionally, phone users are 4.5 times more likely to respond to a text message rather than an email. These statistics suggest that texting patients can yield faster responses in comparison to phone calls, emails, or other forms of communication. ABELDent PCS allows you to send text and email appointment reminders to multiple patients with a few easy clicks.

2. Ensuring patients have a solid transportation plan for reaching their appointments

Transportation for Appointment

A 2016 study yielded interesting results regarding the various reasons patients missed their healthcare appointments. The study brings up the issue of patients missing appointments due to lack of transportation. Some patients, such as minors (e.g., students) and elders (e.g., individuals living in assisted living), may need to make arrangements to ensure they have transportation to your office. Making notes in specific patients’ charts allows you to identify patients that may require you to remind them of their appointments and remind them to have a way to get to your office on time.

3. Get confirmation from patients before sending reminders

Person talking on smartphone

One tip for preventing cancellations is confirming the appointment with the patient prior to reminding them. ABELDent provides customizable settings so your office can set appointment statuses in a way that works best for you. For instance, if your front desk team reaches out to patients two weeks before their appointments, then again one week prior to their appointments, ABELDent keeps track of each contact for each appointment, including when and whom it was with.

Prevent unbooked appointments with ABELDent’s Automated Recall Booking

Do your patients tend to slip away unnoticed?

It can happen to any dental office – multiple appointments, especially on busy days, can leave your team frazzled and strapped for time. Perhaps your patient is in a rush and does not have time to book their next appointment. Either way, appointments that are left unbooked may become more difficult to schedule as time passes. ABELDent Automatic Recall Booking applies automation to the problem of unscheduled and overdue appointments.

How Automated Recall Booking (ARB) works

When your patient is billed for today’s treatment, ABELDent automatically sets up a “contact” for the next interval, as set up in the patient’s chart. For example, if your patient comes every four months for scaling, ABELDent will automatically produce a contact for their due date that your team members can easily drag onto the schedule.

Not sure if your office has a lot of no shows?

If you are unsure about how many last-minute cancellations your office handles weekly, reporting software can help you keep track of these events. ABELDent users can take advantage of our insightful reporting program, ABELDent Reporting & Analytics (R&A), to analyze practice patterns.

Your office’s no shows could be lower than you think, and your office is steadily providing patients with the treatment they need. On the other hand, ABELDent R&A can show you if cancellations are high and can analyze data by various metrics to help you assess what factors affect your cancellation rates. For instance, you can filter by date, provider, patient demographics (age, whether a patient has insurance), etc. Identifying the cancellation patterns in your practice helps you take steps to reduce no shows.

Sometimes, patients will no-show, and there is nothing that anyone can do about it. Your team can, however, have better success filling the vacant spot in your schedule with quick and efficient patient communication tools. ABELDent equips you with the functionalities needed to prevent no shows, last-minute cancellations, and forgotten appointments, and prepares you to manage short notice lists to respond to unexpected openings in your schedule.

Why ABELDent Is Your One-Stop-Solution For All Of Your Practice Management Needs

How much does your current dental software allow you to do? Does your current software provide you with all the tools you need to manage your practice? How many different programs does your practice use daily?

These are some burning questions fuelling the growing number of offices switching to practice management platforms that provide more tools.

In previous blog posts, we discussed some of the reasons Dentists, Hygienists, and Office Managers are opting for an all-in-one software solution. Whether it is because of the simplicity of automatic updates, or the surety of meeting compliance standards, many practices are moving to modern, comprehensive solutions like ABELDent Cloud and Local Plus.

data security

How much difference would a comprehensive solution make in your practice?

Implementing a “one-stop-shop” solution such as ABELDent could benefit your practice in multiple ways, such as:

  • All-encompassing dental software in your office minimizes potential gaps in data that can result from having too many different platforms in operation.
  • A comprehensive software eliminates the need to navigate back-and-forth between various programs, simplifying your team’s workflow and improving efficiency.
  • An all-in-one package saves you money compared to multiple purchases and/or subscriptions.

What is the problem with using too many applications?

We have discussed various issues that can stem from using multiple applications in your daily routine, such as syncing problems between two or more platforms, which can cause data gaps. Syncing issues may mean that some applications display outdated information, such as allergies, medications, and other crucial information.

If your office has technical difficulties, contacting different support teams from various companies can get overwhelming. Keeping up with multiple updates and patches may cause discrepancies between different applications and may lead to poor integrations.

One of the primary benefits of using comprehensive dental software is that all-in-one solutions minimize problems caused by third-party platforms. ABELDent products are designed to work seamlessly, ensuring smooth and seamless usage.

Keeping your practice data on one system is not only easier for you to manage, but more secure.

Why?

A single comprehensive solution is more secure for multiple reasons. The more applications your practice uses, the higher the chances of corrupted data, hole-poking into your practice data, and possible integration issues. A one-stop solution such as ABELDent mitigates these risks, letting your team operate worry-free.

Are you looking to transition to an all-in-one dental software?

Opt in for ABELDent Cloud or Local Plus. ABELDent continually improves and adds new time-saving features that help provide top-quality care to patients easier than ever. ABELDent’s capabilities have a wide range, hitting all, if not most, your practice management needs. Some of our most notable features include:

Get Ahead of Outstanding Treatment

Have some of your patients fallen behind on treatment in the past two years? COVID-19’s impact stretches beyond a health crisis, causing job losses and lay-offs worldwide, especially in 2020. Perhaps some of your patients are just now getting back on their feet but have not had a chance to think about getting their routine cleaning at your office. Possibly, some of your patients have been apprehensive about coming in due to health risks, such as immunocompromised patients, elderly patients, or individuals with heightened anxiety. Maybe some of your patients have outstanding treatment such as restorations, pending implants, crowns, etc. Despite the possible reasons that patients have fallen behind on treatment, one major question stands: does your office have an efficient method for contacting patients who have outstanding treatment?

Dentist with Patient

ABELDent Patient Communication (APC) is a bundle of features that enhances your office’s patient communication abilities. For example,  APC is hugely time-saving and drastically reduces your administrative team’s time spent on telephone tag by helping your team focus on patients who are willing to come in quickly.

With APC, your administrative team has more time available, as they no longer need to review expansive lists of patients who have fallen behind on treatment. APC is a streamlined solution for practices that want simplified yet effective communication tools. One of the most impactful features of APC is automated recall booking, which automates messages to patients and provides them a simple functionality for sending a response back to your office. Automated recall booking improves the efficiency of patient follow-up, ensuring patients that are overdue for treatment are quickly attended to.

In addition to automated recall booking, APC allows for two-way texting, which has been shown as a communication method that patients tend to prefer. APC helps you keep your schedule full by keeping a shortlist of patients who have requested specific times, along with a general short-notice list for contacts who want to come in as soon as possible. This helps your practice fill last-minute openings to prevent unwanted downtime.

Two phone screens with APC on them. What your patients see

APC also brings enhanced security to your patient interactions, ensuring all communication data is encrypted and safely stored. In 2022, top-of-the-line cybersecurity is not only an asset for your practice, but it is a necessity. Cyberattacks were increasing in frequency prior to the pandemic, and with the added vulnerability of COVID-19, practices cannot afford to take any risks with their data.

APC provides tools to help your practice bounce back from the negative impacts that COVID-19 has had on the dental industry. Spend more time providing top-quality treatment with patient communication software that makes daily activities easier than ever. Are you interested in using APC in your practice? Let us know and we can set you up with what you need.

Managing Patient Treatment with ABELDent

Patients who miss their appointments or do not reschedule their next visit can “fall through the cracks”. Without a system in place to keep up with unbooked treatment, patients may go many months without important dental treatment. This can jeopardize your practice production and may lead to weakened patient rapport caused by long time periods between visits.

Other crucial issues with patients “falling through the cracks” includes the risk of oral health decline, misinformed patients, and a potential rise of emergency visits from patients who neglect their oral health.

It can be a challenge to convince some patients of the importance of their oral hygiene. Oftentimes, patients do not realize how important regular cleanings are until they are facing issues such as decay, potential extractions, and endodontic treatments.

ABELDent dental software provides dental offices with a concrete solution to this problem, helping you book patients who may have missed previous appointments to increase the likelihood of completing treatment.

With ABELDent’s Treatment Manager, you can quickly search for patients that have unbooked treatment, filtering the search list in a variety of ways, including:

  • Range of Dates: search by the patient’s appointment due date, follow-up date, or the date a treatment plan was created for the patient
  • Treatment with specific providers: helpful for keeping providers busy and ensuring that treatment is booked with the desired provider
  • Type of treatment: such as restorations, extractions, crowns, implants, or hygiene appointments, enabling you to focus on high priority procedures
  • Cancelled appointments: detailed down to the way the appointment was cancelled, such as a no-show, forgotten appointment, or last-minute cancellation
  • Location: helpful for practices with multiple locations
  • Or any combination of the above

Using Treatment Manager, you can find patients who missed appointments from a date range and remind them to rebook their treatment with your office. Rather than leaving the onus on your patients to rebook their treatment, your office can initiate contact to stay on top of unscheduled treatment.

Treatment Manager is just one feature of ABELDent dental software that helps make practice management easier for your whole team. Watch our video to see how ABELDent’s Treatment Manager can turn no-shows and cancelled appointments into completed treatment, happy patients, and practice production.
